POSITION DESCRIPTION This position coordinates all administrative functions, schedules training and classes at the National Responder Preparedness Center (NRPC). Tracks student information and enrollment maintains records and prepares and submits reports. • Assists the NRPC Coordinator in managing and monitoring the budget, prepares requisitions, check requests, journals and procard documentation, reviews new hire applications for accuracy and inclusion of required documents • Assists in managing the NRPC training centers, mobile training props and fleet, tracks and maintains equipment and property, monitors inventory and revisions to NRPC website. • Prepares and edits correspondence, brochures and other documents, Orders and maintains inventory of office and training supplies. • Maintains and organizes office calendar, assists with managing training center, assists with mobile training props and fleet, and tracking maintenance of equipment and property • Serves as receptionist for the NRPC, greets visitors via face to face and telephone, maintains calendar, proctors IFSAC (International Fire Service Accreditation Congress) written exams, submits documentation to the testing coordinator for grading.

Qualifications • Master’s degree in social work or a closely related field. • Five years of related clinical experience. • Licensed Clinical Social Work (hereinafter “LCSW”) OR corresponding license for independent practice in the state of Kentucky (Licensed Professional Clinical Counselor, Licensed Psychological Practitioner, or Licensed Psychologist). The Part-Time Documentation Specialist’s main role is to take detailed meeting notes in real-time for our highest profile client, as well as to create, or assist in creating Standard Operating Procedures/User Manual for our highest profile client. The Documentation Specialist will work in tandem with the COO who will check work. There will be times the COO will attend calls with the Documentation Specialist and other times where the Documentation Specialist will handle calls independently. During the project for the highest profile client, there will be a period of time when the Documentation Specialist will either attend a particular phase of Project Meetings and document notes or the User Manual while the COO works on the other piece so that both pieces can be completed simultaneously per the Client’s specification. This job requires impeccable attention to detail during live meetings, exceptional accuracy, consistent follow through, and the ability to work independently. Meeting recordings will also be available for reviewing missed words in a live meeting but cannot be relied upon solely for completion of notes, based on the Client’s specifications. Timelines for note document completion and total project completion are driven by the highest profile client with which we must comply to keep the project. In addition to the highest profile client documentation work, the Documentation Specialist will organize project documentation, technical documents, produce user manuals for other clients, and perform other tasks as assigned. Hours: Monday, Wednesday, Friday from 8 AM – 3 PM with the potential to flex hours upon client request. Responsibilities and Duties: • Participate in project calls with customers lasting up to 4+ hours. Typically, there are two 10-minute breaks during calls. • Document project calls in great detail by recording decisions made by stakeholders and capturing the discussions and reasons for decisions. Part of this requirement is to read Action Items off to the group at the end of the call so documentation must be kept up in real-time.
